Privacy Policy Statement

Discovery Mind Group of School (“DM Group”) respects personal data and will comply with the requirements of the Personal Data (Privacy) Ordinance (Cap. 486). DM Group is committed to protecting the privacy, confidentiality and security of the personal information with respect to the management of personal information.

DM Group includes the following Schools:

  • Discovery Mind International Play Centre (Discovery Bay)
  • Discovery Mind International Play Centre (Tung Chung)
  • Discovery Mind Kindergarten
  • Discovery Mind Kindergarten (Tung Chung)
  • Discovery Mind Primary School

Types of Personal Data Held by DM Group

1. Student Information

Students’ personal data provided by students and parents/guardians is collected or kept for the purposes of corresponding with or responding to and taking follow-up actions in respect of students, contacts and communication activities. The information will be used by DM Group for various purposes, including but not limited to:

a. enrolment and admission of the student to the relevant School;
b. school administration and operation;
c. academic and pastoral purposes;
d. research and statistical purposes;
e. alumni activities; and
f. other school related purposes.

Such information will be handled by DM Group staff and will be treated in strict confidence.

DM Group may disclose some of the data to third parties such as agencies (including the Hong Kong Government), service providers or contractors (whether within or outside Hong Kong) appointed by DM Group to undertake some of its academic, pastoral and administrative functions or other external bodies as required by the law. Information may also be shared to another education institution about a student in the context of Child Protection.

2. Personnel Information

Personnel information includes personal particulars, remuneration details, performance appraisals, references, disciplinary matters and reason of termination relating to job applicants, current employees and former employees of DM Group. Where a job application is unsuccessful, such personal data will be destroyed within 24 months following rejection of the application. Personnel records of current and former employees are kept for human resource management purposes.

3. Other Records

Other records include personal data provided to DM Group by individuals for purposes other than those connected with students, contacts, communications or employment. Other records are kept to enable DM Group to administer various functions and activities, e.g. seeking advice on operational matters, undertaking communications and training activities organised by DM Group.

4. Visual Materials

DM Group will take photos and videos of students within the classroom and during school events. DM Group will use the visual material(s), i.e. images, video, text, photographs, graphics or audio to promote DM Group activities and enable the school community and members of the public to have a better understanding of how students are learning. This may include placing visual material(s) in DM Group publications, on our website and other social media platform and in our promotional materials.

5. Information collected when you visit our website

When an individual visit DM Group website, the webserver makes a record of his/her visit that includes his/her IP4 address (and domain name), the types and configurations of browsers, language settings, geo-locations, operating systems, previous sites visited, and time/durations and the pages visited (visitor data). DM Group use the data for the purpose of maintaining and improving our website such as to determine the optimal screen resolution, which pages have been most frequently visited etc, also for website enhancement and optimisation purposes.

Records collected are kept for the purpose of sending newsletters to subscribers registered through the website too. DM Group do not use, and have no intention to use the visitor data to personally identify anyone.

6. Use of cookies

The web browsers are initially set up to accept cookies. The purpose of using cookies is to facilitate the successful redirection to the correct page upon an individual clicking on the changing banner. DM Group do not collect or store any personal data from an individual under this circumstance.

Protection measures
DM Group take necessary steps to ensure the security and confidentiality of the personal data collected. By restricting access of personal data to relevant employees on a “need-to-know” basis and providing training to the employee to handle personal data properly, DM Group hold against loss, unauthorised access, use, modification or disclosure.
Retention of personal data DM Group will not keep the personal data longer than is necessary for the fulfillment of the purpose for which the data is or is to be used. DM Group will retain the various kinds of personal data collected for a reasonable period of time.

Data access and correction
Data access request or correction can be made by completing the Data Access Request Form (OPS003)(http://www.pcpd.org.hk/english/resources_centre/publications/forms/files/Dforme.pdf)
and send it to HR Manager by email at hr@discoverymind.edu.hk, or by mail to the School.
